FAQs

Why are we transitioning away from Qualtrics?

JMU must review all software vendor contracts on a regular basis and conduct a thorough selection process when the contract expires. In compliance with the mandated RFP process, a committee comprised of faculty and staff evaluated three survey software products on a number of characteristics, which included functionality and cost. The committee invited all Qualtrics account users to review two products during open demonstrations. Comments from the committee and feedback from faculty and staff who attended open demonstrations were highly positive, finding that QuestionPro would meet the needs of the university. QuestionPro was selected through this RFP process. A stop-gap renewal was put in place with Qualtrics to prevent loss of research data.

The annual renewal cost for Qualtrics for JMU has remained unchanged for the last decade, but the provider has implemented a drastic price increase of approximately 175%.

Did any faculty have a say in choosing the new provider?

Yes. During the evaluation period, two companies were chosen to demonstrate their products. All Qualtrics account users comprised of faculty and staff were invited to the demonstrations.

Is there a deadline for when Qualtrics will end?

The transition from Qualtrics to QuestionPro must be completed by May 25, 2021. All surveys and data must be migrated to QuestionPro by this date.

Should I start using QuestionPro for new surveys now?

Yes! QuestionPro is ready for you to use. All new surveys should be created in QuestionPro.

Will I be able to get support for migrating my existing surveys from Qualtrics to QuestionPro?

Yes. In addition to the QuestionPro online assistance, JMU Libraries offers workshops. See the section “Where can I get Help/Support?”

How do I archive all of my past data from Qualtrics?

Survey responses must be handled in accordance with Guidelines for Data Storage and Collaboration. The Data Services Coordinator in JMU Libraries can help you with your data management plans, teach workshops on best practices, and help identify repositories to find and deposit data. In addition, IT consultation services are available to help guide individuals to the data handling and storage options most suitable to meet specific regulations and compliance requirements that may apply. To request such a consultation, submit a Technology Service Request (TSR) and you will be matched with an appropriate advisor.

How often are the data in QuestionPro backed up?

QuestionPro has a backup of instances of all Surveys and Data for a period of 18 days. So in case of a disaster recovery situation, QuestionPro's back up servers will be able to retrieve data/instances with historical data and restore it to the last sync update in the 18 days period.

Is there a limit on how many surveys I can create?

For JMU accounts, there is no limit on the number of surveys that can be created.

Can I anonymize survey responses?

Yes, by using the anonymous link, Tracking and Anonymous link the system will not track the respondent’s details.

Enable the Respondent Anonymity Assurance (RAA) for the survey to ensure that email identifications not be linked to the response data.

What data export formats are available in QuestionPro?

Word, Excel, PowerPoint, SPSS, CSV, SQL

Does the software integrate with other apps or websites?

The software can integrate with Salesforce, Zapier, Google Sheets, HubSpot, Tableau, API, Google Analytics and others while following data security guidelines and standards.

Can I collaborate with colleagues at other universities using QuestionPro?

Yes. To collaborate with colleagues at other universities, send a request to questionpro@jmu.edu.

Will QuestionPro be safe to use for collecting personally identifiable information (PII), data covered by the Family Educational Rights and Privacy Act (FERPA) or data covered by Health Insurance Portability and Accountability Act (HIPAA)?

Any faculty, staff, or student that will create or distribute a survey intended to collect identifiable information for research purposes must contact the Office of Research Integrity.

Survey responses must be handled in accordance with QuestionPro Data Management and Compliance Guidance and Guidelines for Data Storage and Collaboration.

IT consultation services are available to help guide individuals to the data handling and storage options most suitable to meet specific regulations and compliance requirements that may apply. To request such a consultation, submit a Technology Service Request (TSR), and you will be matched with an appropriate advisor.
