Facility Reservations

JMU DEPARTMENTS AND STUDENT ORGANIZATIONS:
Please begin your request to reserve UREC space in the Virtual Event Management Software (EMS). Log in with your MyMadison credentials. Student organizations must have a certified student event planner to use the EMS Software.

UREC Reservation Basics
  • Event requests must be made 2 weeks prior to event date. 
  • If you are a JMU department or university-recognized student organization, begin your request to reserve UREC space in the Virtual Event Management Software (EMS).
  • If you are an outside group, contact the Coordinator of Member Services.
  • Special events require a meeting with Reservations and Events staff to discuss logistics and event planning. You will be notified if a meeting is required.
  • If your request requires space rental fees and/or special staffing, you will be contacted with further details.
  • After your reservation has been approved by UREC, you may also need to submit a JMU Event Approval Form and gather the appropriate signatures for your event.
  • Cancellations must be made 48 hours prior to the event. Failure to do so will result in the loss of privileges to reserve space in the future. If a cancellation is not made 48 hours prior to the event, groups may be charged a cancellation fee.
  • In the event of inclement weather, your event may be delayed or cancelled.
  • If fees occur, an invoice will be sent after the event.

UREC is not offering children's birthday parties at this time.

Reservable Spaces

UREC has a variety of indoor & outdoor recreational spaces, meeting rooms, and other large event spaces. For a complete list of spaces with photos, set-up types, capacities, and fees, please click on the links below.

Rental Fees
UREC and University Park are student-fee funded facilities, and in line with UREC's mission, UREC aims to provide space and support for campus recreational programming and events, sport practices and competitions, and drop-in space for general participation. Reservations outside of operational hours and/or requiring additional staffing/support may require a rental fee which will be estimated and provided during the reservation approval and confirmation process. Groups external to JMU will also incur a facility rental fee in addition to staffing costs. 
Scheduling Timeline

General requests for UREC spaces for student organizations and departments will open in EMS according to the following timeline:

  • Fall 2024: Opens August 5
  • Spring 2025: Opens November 25
  • Summer 2025: Opens April 7
Student Event Planner Certification

Student organizations wishing to reserve event space must have a certified student event planner within their org to use the EMS software. Visit the Student Event Planner Certification website to view the training and complete the test for certification. Once your representative receives confirmation, they’ll be able to use their eID to login and reserve space.

After your reservation has been confirmed by UREC, you may also need to submit a JMU Event Approval Form and gather the appropriate signatures for your event.

Drop-In Space Availability

UREC aims to maintain adequate drop-in recreational space during all operational hours for UREC participants. UREC also aims to support campus group recreational events and sport practices and competitions through a wide variety of recreational events and reservations 

To see what spaces will be available when planning your visit to UREC: 

1. Visit EMS.jmu.edu 
2. Click “Add/Remove Locations” 
3. Click “Views” 
4. Select “UREC Drop-In Spaces” 
6. Click “Update Locations”

Please note that all drop-in use is on a first-come first-serve basis. Availability and reservations are subject to change. Events under EMS do not override hours of operation. The Fitness Center and track are not reservable, and therefore open for drop-in during operational hours.
