The departmental program review is a collaborative, developmental process designed to empower departments within JMU Student Affairs to think critically about their work and its impact on the student experience and campus community. Each program review provides a structured opportunity for departments to assess, share, and improve their services, operations, and quality of work.

To encourage continuous improvement, all Student Affairs departments undergo program reviews on a continuous five-year cycle.

Program Review Overview

Below are four phases to program review.

Phases of Program Review

A collaborative community of staff from departments undergoing program review each year. Running from January to May this phase provides dedicated support, training, and template reviews before the program review process begins.

An internal evaluation where the department examines and compares operations against Council for the Advancement of Standards (CAS) benchmarks, conducts a SWOT analysis, reviews past goals, and compiles a comprehensive Self-Study document. This process can take anywhere from 2-8 months depending on the department's timeline and how quickly they choose to move through the self-study.

An on-campus evaluation led by functional area experts from other institutions. Reviewers receive the department’s self-study document 30 days prior, conduct a multi-day site visit, meet with stakeholders, and submit a final written report of recommendations within 30 days of the visit.

Following report approval, the Director, AVP, and VP establish final recommendations. The department drafts a 5-year action plan and connects any new priorities or objectives to the university's STAR Tool for annual tracking.

The Student Affairs Program Review Cohort.

The Program Review Cohort is a dedicated support system designed to bring departments together during the review process, fostering a collaborative learning community, reducing administrative burden, and sharing tools and best practices.

Cohort Logistics & Coordination Details

Held once a month, January through May, from 11:00 a.m. to 1:00 p.m. Meeting locations may vary but will be detailed in calendar invites sent in advance to all participanting directors.

11:00 a.m. - 12:00 p.m. features structured professional development workshops; 12:00 p.m. - 1:00 p.m. is reserved for lunch, community-building, and informal Q&A.

Directors are expected to attend all five sessions and are highly encouraged to bring other team members who might benefit from the professional development or be heavily involved in the review process.

Calendar invites are sent to directors in the fall before their cohort will begin. Directors may forward calendar invites to any other staff they wish to attend, but RSVPs are required as meal vouchers will be provided for each session, so we need an accurate head count.
