September 2009

The first Finance Forum of FY10 was held September 16, 2009.

John Knight, Assistant Vice President for Finance thanked attendees for their excellent work all year long and emphasized the role they play in allowing the university's continuing achievement in meeting the Commonwealth's Management Standards for Institutions of Higher Education annually.

Jack Knight, Special Assistant Attorney General/ University Counsel, gave a presentation on his role at the university.  Jack described his role at JMU as well our roles within the JMU community and what key things may impact what we do. (Contact Jack at 8.5242 or knigh2jf).

Natasha Butler, Onboard Specialist with Human Resources, introduced the E-Verify system that JMU must use to verify all current/existing employees assigned to any federal contract awarded after September 3, 2009, within 3 business days of the employee beginning to perform those federal contracted duties.  Departments should notify Natasha as soon as they are aware that an employee is being assigned to or performing work for a federal contract.  (Contact Natasha at 8.4473 or butlernm).

Tish Leeth, Finance Support, demonstrated the new J-Ess self service feature allowing employees to access employee reimbursement history.  The PowerPoint and FAQ's regarding this new functionality are located at:  http://isapps.jmu.edu/jess/.

The Finance Training Schedule was also reviewed.  The schedule is located at:

http://www.jmu.edu/acctgserv/fin_training.shtml.  Participants should note, new this year is the option to register for Finance 101 and FACT sessions concurrently as long as you feel you have a good grasp of the material to be covered for each session registered for.

Finance 101 is introductory, basic material.  FACT is the advanced "why" information explaining more about what is introduced in Finance 101.  Participants completing all sessions of either series will be given certificates at the conclusion of the workshop(s) series.

The following reminders were announced:

  • Only one payroll period is charged in June, three are charged in July
  • ALL SPCC CLEARING ACCOUNT CODES MUST BE CLEARED OUT MONTHLY - THIS IS NOW A MANDATE FROM THE COMMONWEALTH OF VIRGINIA DEPARTMENT OF ACCOUNTS
  • Cell phone stipends - are budgeted under account code 114540 for departments rather than in the telecom account code 121800 as they were done prior to last fiscal year due to change in IRS regulations that consider this a taxable benefit

 The following announcement was made:

  • Financial Procedures Manual Section 4215.331 has been revised effective immediately for all travel plans that commence as of this date to state "persons traveling to the same event with identical travel plans will carpool.
