
Residence Life provides students with much more than a simple place to study, sleep, or work; residence halls include lounges and recreational areas, events, programs, and Residential Learning Communities. When you use our on-campus housing services, information about you is generated and stored in university systems such as StarRez, eRezLife, and CSGold (which is primarily managed by Card Services).
- Student Contact Information
such as personal mobile phone number, parent or guardian contact information, family member(s) living with the resident, home and campus addresses, preferred name for communication with Res-Life staff, emergency and missing person contact information. (Missing person data can be different from emergency data)
- Housing Application/Housing Contract Information
such as housing interests and preferences, roommate matching profile, roommate finder information, disability accommodation(s) requests through the Office of Disability Services and move-in and move-out dates
- Housing Management Information
such as housing assignment (address, approved accommodation location, and amenities), key information, housing change requests, logs of communication with residents, record of policy violations, and temporary placement information
- Billing Information
such as housing charges, or fees for the billing statement submitted to the student account
- Logging Information
when you use the JMU Online Housing System (StarRez PortalX) and other housing applications, we record information such as unique name, date and time of login, length of session, page visits, etc
James Madison University uses Student Housing data to enable:
- Student Housing Administration Processes
support processes associated with applications, assignment, contracting, and management of housing
- Service Support
ensure system stability and positive user experience by monitoring service performance, maintaining a reliable record of transactions, and providing end-user support
- Communications
provide you with information on co-curricular activities and programming, housing promotions, relevant safety notices for the area, and community impact updates such as notifications on roads, utilities, and construction
- Planning and Reporting
JMU analyzes aggregate data to identify, evaluate, and respond to trends in university housing; examples include application trends, occupancy reporting by gender identity, class standing, and home address
- Directly
when you provide it to us, such as when you share housing preferences, complete a roommate matching profile, submit change requests, etc.
- Automatically
when Housing system generates, and stores data based on interactions and system-automated rules
- From JMU Staff
when Housing staff captures information in Housing systems on your behalf, such as profile updates, change requests, etc
James Madison University does not sell or rent your information. We may share your student housing information with:
- System Service Providers
that support housing systems and services offered by the university, such as StarRez, Portal X, and eRez-Life; we require our service providers to keep your personal information secure and use it only for providing services on the university’s behalf
- Government Entities
we report aggregate occupancy numbers to SCHEV (Virginia State Council of Higher Education); we provide the U.S. Census Bureau with names and room assignments by building when requested
- Other Service Providers
we provide support to preferred vendors: Storage Scholars, Dormify, University Cleaners, and MicroFridge to allow students to opt in to vendor services and goods; all data sharing is governed by contracts; all mailings are sent through JMU Mail Services, limited student data is shared with vendors only when a student has requested services from the vendor
No public institution of higher education shall sell students' personal information, including names, addresses, phone numbers, and email addresses, to any person. This subsection shall not apply to transactions involving credit, debit, employment, finance, identity verification, risk assessment, fraud prevention, or other transactions initiated by the student. VA Code 23.1-405(D)
Personal information may be shared when required by law, or to protect the safety, property, or rights of the university, its community members, staff, and guests.
