Serving on UPB’s Executive Board is an excellent opportunity to become more involved on campus and help build community at JMU! This group works together to run the day-to-day operations of the organization and lead efforts in planning and hosting events. UPB Executive members are employees of the Student Life Department and are compensated via a stipend for their work. These roles constitute a considerable commitment and stay engaged with our office over the summer to ensure the success of the organization’s work. Please see below to read through each of the job descriptions.
The Executive Board is made up of three types of positions:
- Leadership: This includes our President and Vice President Positions. These roles focus on supporting UPB as a whole and are responsible for the sustainability and administration of the organization.
- Program Directors: These roles oversee event committees and are the primary event planners for UPB. Program Directors chair committees and oversee the planning and implementation of events.
- Program Assistants: These roles work very closely with Program Directors and help co-chair event committees. They play a supporting role in planning and implementing events.

Position Descriptions
Before submitting an application, please read through the position descriptions so that you understand the full scope of work for each position.
- Oversee the direction of the University Program Board and serve as the official spokesperson for UPB.
- Support all members of UPB and strive to enhance and support the mission statement of the organization.
- Re-register UPB as a registered student organization annually through BeInvolved.
- Lead goal-setting sessions with the support of the Executive Board to establish semesterly and yearly goals for the organization.
- Attend all Student Org Night events alongside the Executive Vice President.
- Facilitate weekly Executive Board and Leadership Team meetings.
- Create the agenda for the weekly Executive Board Meeting and Leadership Team Meeting to be shared with the Executive Vice President prior to the meeting.
- Can call special meetings with at least 24-hour notice.
- Reassess the Constitution and position descriptions annually, adjusting as necessary with the approval of the Executive Board.
- Plan and facilitate the Executive Board's New Board Training (April), summer training, fall training, fall retreat, and spring retreat with support from the Executive Vice President.
- Plan and facilitate meetings throughout the summer to ensure a success in Weeks of Welcome events and throughout the fall semester.
- Oversee the Executive Board evaluation process and implement climate surveys at the end of each semester in collaboration with the Coordinator and Graduate Assistant
- Plan the end-of-the-year banquet with the support of the Executive Vice President.
- Plan and implement one alcohol-alternative program a semester.
- Meet with assigned advisor on a weekly basis and as necessary.
- Attend weekly Executive Board, General Body, and Leadership Team meetings.
- Hold seven (7) office hours per week.
- Oversee the recruitment of general membership.
- Create a recruitment plan prior to the fall semester to be implemented throughout the school year.
- Oversee the application process of all new members with the Coordinator and President.
- Attend all Student Org Night events alongside the President.
- Plan and facilitate all presentations for the development of new members and serve as a resource for the continued development of general membership within the organization.
- Develop, plan, and implement all UPB information nights, CHOICES tabling, and recruitment events.
- Facilitate the implementation of and enforcement of an attendance policy for executive board members and general members in collaboration with the Vice President of Administration and Finance.
- Design and implement a UPB mentorship program for new members.
- Develop, plan, and implement member retreats and events with the assistance of the President.
- Assist the President in the planning and facilitation of the Executive Board's New Board Training (April), summer training, fall training, fall retreat and spring retreat.
- Facilitate Executive Board meetings in the absence of the President.
- Facilitate the creation of an agenda and slideshow for General Body Meetings to be shared at least 48 hours prior to the meeting with the Executive Board.
- Facilitate social events for general body members at least once a month
- Assist the President in planning and implementing the End-Of-Year Banquet
- Possibility of overseeing 3-5 Program Assistants.
- Plan and implement one alcohol alternative program per semester.
- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board, General Body, and Leadership Team meetings.
- Hold five (7) office hours per week.
- Facilitate and develop training for the Program Directors with the exception of the Graphic Design Director.
- Support the Coordinator, President, and Executive Vice President in the planning of Executive Board training.
- Ensure Program Directors are meeting all programming deadlines.
- Assist Program Directors in the research and development of UPB’s programs and work towards the mission of the organization.
- Facilitate communication between campus partners and the appropriate Program Director.
- Oversee the space reservation process for all University Program Board events through the Event Management System (EMS).
- Ensure event specification forms are completed and submitted in EMS in a timely manner.
- Assist with the development of program evaluations to survey event attendees.
- Work with the Vice President of Marketing to ensure that the overall marketing of UPB programming is cohesive and accurate.
- Hold bi-weekly one-on-ones with each Program Directors to assist in event planning.

- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board, General Body, and Leadership team meetings.
- Hold five (5) office hours per week.
- Lead the Marketing Team and facilitate weekly Marketing Team meetings.
- Work with the Marketing Team to create brand awareness of UPB on campus.
- Facilitate the development of creative marketing tactics for UPB events in collaboration with the Program Directors.
- Facilitate monthly meetings with all Program Directors to see they are meeting marketing deadlines and how the marketing team can best assist them in marketing their events.
- Design and host events to promote UPB and UPB events.
- Submit content for Dukes Weekly, digital signs, Potty Mouth, etc. in collaboration with Student Affairs Communication and Marketing department to advertise events
- Coordinate the purchase of giveaways and merch for UPB marketing purposes with approval from the Leadership Team and advisors.
- Create, print, and distribute a monthly UPB events calendar to be posted in residence halls and handed out to students in collaboration with the Director of Graphic Design.
- Handle all UPB press releases, mass marketing emails, and oversee content creation for UPB social media accounts.
- Creating and updating a social media posting calendar.
- Send out weekly newsletters in collaboration with the Vice President of Administration and Finance.
- Coordinate press at UPB events and establish a yearly contract with The Breeze in relation to operating in a respectful way and maintaining a positive relationship between UPB and The Breeze.
- Maintain and update the UPB website to ensure accurate information at all times.
- Plan and implement one alcohol alternative program per semester.
- Possibility of overseeing 3-5 chairs.
- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board, General Body, and Leadership team meetings.
- Hold five (5) office hours per week.
- Create and implement an attendance policy for executive board members and general members in collaboration with the Executive Vice President with approval from the Executive Board.
- Facilitate the scheduling of UPB Executive Board office hours on a semesterly basis. Record Executive Board and General Body Meeting minutes and share these out to the respective groups within 24 hours of the meetings.
- Keep a virtual inventory log of items within the storage closet and UPB office. Work with the Coordinator to coordinate supply orders when necessary.
- Serve as the financial officer update and maintain the UPB budget.
- Help oversee the budget spending of committees.
- In collaboration with the UPB Coordinator, help with mid-year budget evaluations and reallocation
- Oversee the space reservation process for all University Program Board meetings through the Event Management System (EMS) in Collaboration with the Coordinator and Executive Vice President.
- Serve as the financial liaison between UPB and the Student Government Association.

- Hold five (5) office hours per week.
- Design and coordinate graphics for UPB social media and printed marketing efforts.
- Create a system for Program Directors to input the information necessary for the creation of graphics and completion deadlines.

- Have check-ins with Program Directors to ensure that graphics are reflective of they want to advertise.
- Meet with the assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board, General Body, and Marketing Team meetings.
- Hold five (5) office hours per week
- Lead the Amplify Committee and facilitate weekly committee meetings.
- Plan and implement these signature programming: Battle of the Bands, Fall Concert, Purple Reign, and Comedy Show.
- Plan, implement, and evaluate 2-3 smaller concert-style events a semester (e.g. Java Jams, Rumble Down Under, Student Concerts, etc.) in collaboration with the Amplify Program Assistants.
- Research and collaborate with local and student musicians for campus performances.
- Assist the Amplify Program Assistants in the planning, implementation, and evaluation of one live comedy show per semester
- Develop surveys and creative research methods to poll the JMU student body to determine what musical acts and live performances they would like to see on campus.
- Coordinate large-scale concerts with nationally touring artists through Babco Entertainment.
- Collaborate with the Coordinator to coordinate hospitality, ticket pricing and sale dates, press ticketing, event staff, security, and all day-of-show responsibilities for all large-scale concerts.
- Create and disseminate a volunteer packet, including information on what roles volunteers will have.
- Prior to large concerts/live events, create and present concert training for all volunteers.
- In collaboration with the Marketing Team, create and develop an advertising campaign for all large-scale concerts (i.e. local newspapers, radio stations, campus televisions, banners, print materials)
- Collaborate with the Director of Special Events, Special Events Program Assistants, and Amplify Program Assistants on the planning, implementation, and evaluation of Purple Reign.
- Work directly with the Amplify Program Assistant(s).
- Help oversee committee chairs working to support the work of the Amplify committee
- Plan, implement, and evaluate additional programming as assigned each semester.
- Meet bi-weekly with the Vice President of Programming.
- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board meetings.
- Hold five (5) office hours per week.
- Plan one live comedy show per semester in collaboration with the Amplify Director.
- Assist the Amplify Director and the Amplify Committee in programming.
- Attend bi-weekly meetings with the President or Executive Vice President.

- Meet monthly with the Leadership Team and assigned Program Director to ensure programming deadlines are being met and events are in line with UPB’s mission.
- Hold three (3) office hours a week

- Lead the Spirit and Traditions Committee and facilitate weekly committee meetings.
- Plan, implement, and evaluate monthly Late Night Breakfast events.
- Coordinate UPB’s participation in traditional campus events such as Weeks of Welcome, Homecoming, Parents Weekend, Sibs and Kids Day etc.
- Plan UPB’s involvement in fall and spring Weeks of Welcome in collaboration with Orientation.
- Plan Festival Fun Fair before the fall semester during Weeks of Welcome
- Plan, implement, and evaluate 2-3 events a month focused on the first-year experience, JMU spirit/traditions, and JMU sporting events
- Maintain positive relationships with entertainment agencies and campus partners.
- Work directly with the Spirit and Traditions Program Assistant(s).
- Help oversee committee chairs working to support the work of the SNT committee
- Plan, implement, and evaluate additional programming as assigned each semester
- Meet bi-weekly with the Vice President of Programming.
- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board meetings.
- Hold five (5) office hours per week.
- Create events that highlight the freshman experience and showcase JMU’s Traditions. (Sports Games, Move-In, Dining Traditions, On Campus Living, WoW, LNB, etc)
- Assist the Spirit and Traditions Director and Sprit and Traditions committee in programming.
- Attend bi-weekly meetings with the President or Executive Vice President.
- Attend weekly executive, general body, and committee meetings.
- Meet monthly with the Leadership Team and assigned Program Director to ensure programming deadlines are being met and events are in line with UPB’s mission.
- Hold three (3) office hours a week.
- Meet with assigned advisor on a weekly/bi-weekly basis.
- Meet with assigned advisor as needed
- Lead the Special Events Committee and facilitate weekly committee meetings.
- Plan, implement, and evaluate monthly novelty-type programs (e.g. Carnival Events, UPBe Green, etc.).
- Plan and implement signature SPEV programming, including but not limited to: JMZoo, Bingo, Karaoke, Tie Blanket Making, and other specialty seasonal events.
- Plan, implement, and evaluate 3-4 creative activities and events a month. These include the signature programs mentioned above but can also include new program ideas.
- Plan, implement, and evaluate at least one (1) bus trip/off-campus UPB event per year.
- Collaborate with the Director of Amplify on the planning, implementation, and evaluation of Purple Reign Music Festival.
- Collaborate with other Program Directors once a semester to create a cross-committee event.
- Maintain positive relationships with entertainment agencies and campus partners.
- Work directly with Special Event Program Assistant(s)
- Help oversee committee chairs working to support the work of the SPEV committee.
- Plan, implement, and evaluate additional programming as assigned each semester.
- Meet bi-weekly with the Vice President of Programming.
- Meet with assigned advisor on a bi-weekly basis.
- Attend weekly Executive Board meetings.
- Hold five (5) office hours per week.
- Assist the SPEV Director and the SPEV Committee in programming.
- Attend bi-weekly meetings with the President or Executive Vice President.
- Attend weekly executive, general body, and committee meetings.
- Create slides for committee meetings.
- Meet monthly with the Leadership Team and assigned Program Director to ensure programming deadlines are being met and events are in line with UPB’s mission.
- Hold three (3) office hours a week.
- Meet with assigned advisor on a weekly/bi-weekly basis.
- Lead the Community Engagement Committee and facilitate weekly committee meetings.
- Signature Events: Drag Show (collaboration with SOGIE), International Week Collaborations, First-Day-of-Classes/Last-Day-of-Classes Celebration, etc.
- Plan, implement, and evaluate 5-6 non-movie-based events a semester.
- Work with campus partners such as Off Campus Life, SOGIE, Civic Engagement, Ect.
- Partner with student organization to plan and execute additional programming that promotes engagement on JMU’s campus.
- Plan and promote programming in collaboration with Harrisonburg businesses and the City of Harrisonburg.
- Create events to highlight and promote diversity, equity, and inclusion, including events related to affinity weeks and months (Black History Month, Women's History Month, Trans Awareness Week, etc.)
- Oversee the film selection process, working with Swank Motion Pictures and Coordinator to purchase rights to show films.
- Manage all aspects of movie showings, including coordinating volunteers, purchasing rights, and cleaning the popcorn machine. Work with the projectionist to ensure proper communication before and during showings.
- Regularly inventory popcorn and cups and order supplies as needed.
- Work directly with the Community Engagement Program Assistant(s).
- Help oversee committee chairs working directly with them to support the work of your committee.
- Plan, implement, and evaluate additional programming as assigned each semester.
- Meet with collaborators / co-host organization for events in-person and virtual
