New Feature: Private List Data Coming to Qualtrics Mailing Lists

Qualtrics users, we would like to announce an upcoming enhancement to JMU's Qualtrics XM Directory. On Wednesday, September 16, 2026, the Private List Data feature will be enabled and available when creating mailing lists.

What is Private List Data?

Private List Data allows you to add custom data fields to your mailing lists that are visible only to users with access to that specific list.  These fields are not accessible or editable in the main directory or other lists, providing greater privacy and control over list-specific information.

What's Changing for You?

  • New Option When Creating a List:
    When you create a new mailing list, you will see an option to "Make data in this list private."
    • If selected, any embedded data fields you add will be private to that list and not visible in the directory or other lists.
    • If not selected, data fields will behave as before - visible and editable at the directory-wide level.

  • Managing Private Data:
    You can view, search, and delete private data fields within your list using the "Manage private list data" section.

  • Data Privacy:
    Private list data ensures that sensitive or project-specific information remains confidential and is not overwritten or exposed in the directory.
  • Irreversible Setting:
    Once a list is created with private data enabled, this setting cannot be changed.  Please consider your privacy needs before selecting this option.

Why Use Private List Data?

  • Protect sensitive or project-specific information.
  • Prevent accidental overwrites of directory-wide data.
  • Enable targeted sampling and filtering within your list.

What Should You Do?

  • When creating a new mailing list, decide whether you need private data for your project or workflow.
  • If you have questions or need guidance, please contac the IT Help Desk for assistance, and they will connect you to Qualtrics support or a JMU Qualtrics administrator.
