Email Resources have specific settings that can only be set using Outlook on the Web; this tutorial explains how to open them in a web browser. The steps are the same for those who wish to access a Shared Mailbox or Shared Calendar using a web browser.


Opening Shared Mailboxes (Method 1)

This method will only work if you filled out the Request Form for Full Access/Ownership. You will need to use this method if you need to change Resource settings.

  1. Log into https://outlook.office365.com and complete the Duo prompt.
  2. Click on the circle icon in the upper-right corner of Outlook on the Web. Click “Open another Mailbox” from the drop-down menu.

  1. In the box that appears, type the name or email address of your Resource or Shared Mailbox.

    Outlook on the Web may present you with possible matches as you type. If no match appears, click the “Search Directory” option.

    The name will either resolve as you typed it, or you will get a list of potential mailboxes to choose from.

    Once a selection has been made, click “Open.”

Opening Shared Mailboxes (Method 2)

This method will work if you were given reviewer or higher folder-level access to an inbox of a Shared Mailbox, Resource, or personal mailbox. If this is the case, you will only be able to see the specific folders you were given access to. For example, if you were given permission to the Inbox, you will be unable to see sub-folders of the inbox or any other folders like Sent Items or Junk.

If you filled out the Request Form for Full Access/Ownership and use this method, you will be able to see all folders.

If you use this method, items you delete will be in your Deleted Items, and items you send will be in your Sent Items, not in those of the shared mailbox or resource.

  1. Right Click on “Folders” in the left pane. Click “Add Shared Folder” from the menu that appears.

The mailbox will appear on the left at the bottom of your folder list. You may need to click the arrow to expand it.

Opening a Shared Calendar in Outlook on the Web

  1. While in your Calendar view, click on “Add calendar” in the left side bar.

  1. In the window that appears, select “Add from directory” in the left column. Enter the name of the calendar you wish to add. You can also enter an employee who has shared their calendar with you.

  1. Outlook on the Web may present you with possible matches as you type. If no match appears, click the “Search Directory” option. The name will either resolve as you type it, or you will get a list of potential mailboxes to choose from.

  1. Once a selection has been made, the “Add to” option will appear.

    Using the drop-down arrow, select where you would like for the calendar to appear: My calendars, Other calendars, or People’s Calendars. Once you have decided, click Add. You may now close the pop-up window.

  1. The calendar will appear in the left sidebar under whichever heading you selected in step 4. You may need to click the arrow to expand the section.
