Description

Schedules meetings, interviews, conference rooms at our corporate headquarters
Participates, plans, and provides notes for executives in weekly staff meetings
Regularly inventories and orders office supplies, marketing materials, and IT assets as requested by the HR Manager and Operations Manager
Books travel of CEO, executives, and employees to include flights, hotel rooms, and rental cars
Provides budgeting for travel, oversees expense reporting of employees, audits employee credit cards
Provides financial reports for banking and insurance, prepares and sends out line of credit (LOC requests) to banks and financial institutions regularly
Creates, maintains, and audits executive and employee personnel files in a confidential manner
Research, plans and registers executives for conferences regularly
Responds to email inquiries for client/partner follow up, answers calls relays messages to the appropriate individual and follow-ups, as required
Receives and disseminates mail and packages daily to the appropriate individuals
Human Resources: Schedules interviews for Senior Recruiter, prints and files paperwork in personnel files, coordinates employee training, assists with onboarding follow-ups, orders and tracks office keys and fobs
Space planning to include design, layout and assignment of workspaces. Makes recommendations to provide the best opportunity for efficient workflow of the executives and team
Experience in developing, researching, interpreting, and implementing company policies and procedures
Assists in developing and implementing a social media campaign to include LinkedIn, Facebook, Twitter, etc., participate in company-wide events
Provides support to accounting department by creating and updating forms, providing financial reporting, scanning and sending documents, providing invoices and receipts

Requirements:

  • Experience of researching and travel booking
  • Experience of Microsoft Word, PowerPoint, Excel and Outlook
