Reserving a UREC Vehicle

1. UREC vehicle request forms are available through the Operations office, Room 105. They may also be found on the L Drive in the "Forms" folder.
   
   
2. Reservations are made on a first come, first serve basis, however UREC programming will have priority.
   
   
3. All requests will be confirmed within 48 hours of receipt.
   
   
4. All sport clubs must forward their requests through the Sport Club Coordinator.
   
   
5. Prior to checking out a vehicle all drivers must:
   
   
   1. Review the UREC vehicle policy.
      
      
   2. Meet with Donnie Mix, Equipment Manager, prior to checking out the keys to review basic vehicle operations. This meeting should be arranged in advance and will take approximately 15 minutes.
      
      
   3. All drivers must be James Madison University students, faculty, or staff.
      
      
   4. All drivers must have a current, valid driver's license.
   
   
6. Keys will be checked out from the Associate Director for Operations Monday through Friday between the hours of 9am-3pm. Please pick up the keys the last business day prior to the trip.
   
   
7. The Equipment Manager will place a trip checklist in each vehicle. This indicates that Donnie has checked the vehicle's operations prior to use. Please note any problems on the checklist that occur during your trip. All trip checklists must be returned to Donnie after your trip.
   
   
8. Please request the gas credit card when checking out the keys if necessary.
   
   
   1. The Gas Credit Card can ONLY be used for the UREC Van.
      
      
   2. Save all receipts and return with credit card and van keys the next business day after returning.
      
      
   3. Please limit all purchases to gasoline unless in an emergency.
      
      
   4. Any unauthorized, non-automotive purchases will be charged to the user.
      
      
   5. Regular unleaded gas must be used at all times.
   
   
9. Every use of a UREC vehicle will be charged. There will be a $15 minimum charge for use of a UREC vehicle. Mileage costs are determined from the total mileage recorded at the completion of the trip:
   
   

   Less than 100 miles	$.40/mile
   101 to 200 miles	$.30/mile
   201 to 500 miles	$.25/mile
   501 or more miles	$.20/mile
