Events & Conferences' Van Operation Rules

UNIVERSITY CENTER VANS #243, and #133

  • Pick up trip ticket and keys Mon-Fri 8am - 5pm from the Events & Conferences office located in Taylor Hall, Room 233. A credit card should be requested if your trip is out of town.

  • Van keys, trip tickets and/or credit card must be returned to the Events & Conferences office by 12 noon the first business day following the reservation and vans returned to 1595 South Main Street Warehouse Complex by the end of the reservation period; otherwise there will be a $50 service charge and revocation of reservation privileges for your club until fee is paid.

TRANSPORATION VEHICLES

  • Keys and vehicles must be picked up from the Transportation Department located at 1593 South Main Street. This is the first building in the South Main warehouse complex after crossing the railroad tracks. Mon-Fri 7:30 am-4pm.

VEHICLE PICKUP AND FUELING INFORMATION

  • All vans are located at the 1595 South Main Street Warehouse Complex (located across from El Charro Restaurant) (a map is available in the Events & Conferences office if needed). The gate into the Transportation area will be locked after business hours;. a gate key is provided with the vehicle keys. If you unlock the gate, please make sure it is locked when leaving.

  • If gas is needed, tank should be filled at either the 1595 South Main Street Warehouse Complex (located across from El Charro Restaurant) between 7:30am - 4pm (M-F) or on evenings and weekends use tanks at Garage off Grace Street . Log in van # and amount of gas obtained. Call Public Safety (x6913, if no answer x6911) to unlock pumps at Grace Street pumps (evenings and weekends). Anytime you obtain gas (regular unleaded only) please check the oil and water.

  • A credit card is available for out of town trips. Purchases on the credit card should only be for regular unleaded gasoline and oil (if needed). No other purchases may be made. Please be advised that some gasoline stations will not honor the credit card. Please check before pumping gas.

  • Vans should be returned to 1595 South Main Street by the end of the reservation period.

  • Make sure all doors are locked, windows are closed, lights off and trash picked up when returning van.

GENERAL INFORMATION

  • The use of alcohol and/or possession of alcohol in state vehicles is prohibited.

  • University vans are not to be used for transportation to an event where alcohol will be served.

  • The operator of state vehicles must be a valid licensed driver. The operator of the vehicle must be a JMU student, faculty, or staff member.

  • Vehicle operators must observe all traffic regulations including posted speed limits.

  • Faculty advisors must sign the vehicle request form and assume responsibility for the observance of all regulations.

  • There is a .50 per mile charge, with a $15 minimum charge for vehicle use. Payment is due within 30 days. Rates for other vehicles (cars, mini vans, buses, driver charges, etc.) are available in the Events & Conferences office.

  • There will be a $25 fee charged if 24 hour cancellation notice is not given on any vehicle.

  • Continued use of state vehicles is contingent upon compliance with the above regulations.

  • Per executive order from former Governor Robb, it is mandatory that all users of vans wear seat belts.

IN CASE OF AN ACCIDENT (SEE EMERGENCY PROCEDURES INSIDE VEHICLE GLOVE BOX)

  • Call the State Police. Do not leave the scene of the accident.

  • Call Public Safety (x6913; if no answer x6911) as soon as it is physically possible to do so. Call the Events & Conferences office (x6330) as soon as possible after you have contacted Public Safety.

  • Any damages to the van, regardless of how minor, should be reported to the Events & Conferences office.

DRIVER INFORMATION

  • Reservationist is responsible for having all drivers complete a "Driver's Authorization Form" before driving a state vehicle. Forms are available in the Events & Conferences office for University Center vans #243 and #133, and the Transportation department for Transportation vehicles.
