Saving a File Attachment in Outlook

      You might receive messages containing inserted files (file attachments). If you save a file attachment, you can then open it in its parent application and edit it as needed. For example, if you receive a message containing a Microsoft Excel file attachment (as designated by the file’s .xls extension), you can save the file attachment, open it in Microsoft Excel, and make any desired changes.

  It is not necessary to rename a file attachment when you save it – if the file attachment has an appropriate file extension (e.g. .doc for Microsoft Word files, .xls for Microsoft Excel files, etc.).


If you do rename it, you should keep the original file extension so that the file retains its association with its parent application or add the appropriate extension when it lacks one.


People who use Outlook or another e-mail client program on non-Windows computers (Macintosh, for example) may have no need for file extensions themselves, so they may send file attachments to you that lack the extension.

 

 

 

      Exercise: Saving a File Attachment

 

  1. Click the group on the Outlook Bar containing the desired folder.
  2. Click the folder icon to open the folder containing the desired message.
  3. Open the Message window containing the inserted file.
  4. Double-click the icon representing the inserted file.
  5. Select the Save it to disk option.
  6. Select OK.
  7. Type the desired file name.
  8. Select the Save in list.
  9. Select the drive where you want to save the folder.
  10. Select the folder where you want to save the file.
  11. Select Save.
