Inserting File Attachments in Outlook

      You can use Outlook to send or distribute files. When you insert a file into a message and then send that message, the file is delivered to the recipient along with the message. The recipient can then use the file as desired. You can insert any type of file into a message. Inserting a file is also known as attaching a file, and inserted files are known as file attachments.

Besides messages, you can also insert files into contacts, tasks, appointments, and journal entries.

The toolbar in the Insert File dialog box provides buttons that allow you to navigate drives and folders, search the World Wide Web, access the Favorites folder, and add a selected item to the Favorites folder. Other toolbar buttons allow you to change the view. In addition, you can use options in the Insert File dialog box to perform simple or advanced file searches.

 

 

 

      Exercise: Inserting a File Attachment

 

  1. From the File menu, point to the New command and select the Mail Message command to open a Message window.
  2. Position the insertion point where you want to insert the file.
  3. Select the Insert menu.
  4. Select the File command.
  5. Select the Look in list.
  6. Select the drive where the file is stored.
  7. Select the folder where the file is stored.
  8. Select the file you want to insert.
  9. Select Insert.
