HRMS Access Detail

 

Access Detail

Access is approved by the HR Data Administrator and granted by the IS Security Team.  Signature Authority for PAR and/or Personnel Authority access (see Signature Authorization) is required, and information is restricted to the DeptID that you are authorized to view.

Your access may fall in the following categories:

Employee Information:  Provides access to ethnicity, SSN, business title, supervisor, state service date, phone numbers, and emergency contact information. 

Job Profile:  Provides access to salary, pay band, account code (Dept ID or Grant ID), effective date, and action date information.  This information is restricted to the DeptID that you are authorized to view.

Job Summary:  Provides a brief overview of the salary and status of employee giving a breakdown of the employee salary into monthly, daily, and hourly rates.  This information is restricted to the DeptID that you are authorized to view.

JHR I9 Data:  Allows for the verification of citizen status as well as SSN.  This may be needed if working with international staff or student workers. This information is restricted to the DeptID that you are authorized to view.

Employee Leave:  Provides leave information of employee (same as MyMadison leave info) including last accrual date, anniversary date and leave types. This information is restricted to the DeptID that you are authorized to view.

Additional Pay:  Provides access to earnings, goal amount and goal balance information paid by another department or account. This information is restricted to the DeptID that you are authorized to view.

Personnel Expenditures Report: This page is used to reconcile and/or confirm employee pay.  This information is restricted to the DeptID that you are authorized to view.

JMU Time Entry:  Signature Authority for Time Entry and/or Approval is required.  Provides access to enter payroll data for wage and/or student employees, or serve as the approver to the payroll data.  The information is restricted by Signature Authority access.

When completing the online IS Access Request submission, please include the required categories from the list above.  If your access will need to be unique, often referred to as “core” access, please describe the duties required, and/or supply an employee that has “like” access, or the employee you are replacing. 

Removal of Access:

When an employee leaves JMU, transfers into another area within JMU, and/or job duties change, you must submit a new IS Access Request to delete the access that is no longer needed.  This is very important in keeping our University data secure.  Your attention to removal of access is appreciated.

If access is revised, such as a new grant department needs to be added, please note that a request must be submitted to include the new DeptID in your access.  You must also complete a new Signature Authorization (see here for instructions taking special note to the Authorization Areas section). 

If you transfer to another department, the online IS Access Request must be completed to indicate transfer to the new organization and any changes that would be required.  Your signature authority must be changed as well to get the appropriate authorization to the new departments.
