NOTE: On newer Treos running Palm OS, the VersaMail icon is now labeled Email.
 

Setting up an account on your device

If you have already set up an account on your computer, you don't need to set up the account on your device. Just synchronize to transfer the account settings to your device.

If you are setting up a Microsoft Exchange ActiveSync account on your device to synchronize email and Calendar information with Microsoft Exchange Server 2003, see Working with Microsoft Exchange ActiveSync® for setup instructions.

1. Go to Applications and select VersaMail .

2. Open Account Setup screen:

  1. Open the menus .

  2. Select Accounts, and then select Account Setup.

  3. Select New.

3. Enter the basic account information:

  1. In the Account Name field, enter a descriptive
    name. It can be called whatever you like.

  2. Select the Mail Service pick list, and then select
    your email provider.
    Select Other if your provider
    is not listed.

  3. If you chose Other, select the Protocol pick list,
    and then select IMAP.

  4. Select Next.

    4. Enter the account username and password

    • Enter your e-ID as your username.

    • Select the Password box, enter your
      e-ID password, and then select OK.

    • Select Next.

5. If you chose a common email
provider from the Mail Services
pick list on the Account Setup
screen, this screen is already
filled in. If not, enter the names
of the incoming and outgoing
mail servers:

  1. Enter your email address.

  2. Enter the names of your
    mail servers.

  3. Select Next.

6. Set additional mail options
Select Advanced to set advanced
mail options

7. Set incoming mail server options for the account:

  1. Select any of the following:

    Use Secure Connection (SSL)  To retrieve
    incoming mail over a secure (Secure
    Sockets Layer
    , or SSL) connection,
    check the Use Secure Connection box. If you
    check the box, the port number for
    incoming mail changes to 995.
    You must then change the
    port number to 993.


  2. Select Next.

8. Set outgoing mail options:

a. Select the following:

Use Secure Connection (SSL)  To send outgoing
mail over a secure (Secure Sockets Layer, or SSL)
connection, check the Use Secure Connection box.

Use authentication  Check the box since the outgoing server (SMTP) requires ESMTP authentication. If you select this option, username and password fields appear.

These fields are already filled in based on the account information you entered. In most cases, the information displayed is correct; however, occasionally your authentication username and/or password is different from your account username or password.

b. Select Done.

Editing an account on your device

1. Select the account you want to edit:

  1. Open the menus .

  2. Select Accounts, and then select Account Setup.

  3. Select the name of the account to edit, and then select Edit.

2. The same series of screens appears for editing an account as for creating an account. Go through the screens by selecting Next, and change the entries you want to edit on the appropriate screens.

How do I set up a Treo Phone using VersaMail with IMAP to JMU's central email server?

First, check to ensure the phone has been charged. New phones typically are not charged, or have a very low charge. To check the level of charge:

  1. Press the power button (the only button on the phone that is red).
  2. Press the center button to unlock the keyguard.
  3. Press the telephone button on the left side of the phone.
  4. With the stylus, touch the battery icon on the top right side of the screen (this will tell you the charge level of the battery by percentage.
  5. Now you are ready to install the VersaMail IMAP connection:

  6. Press the home key (the button with a picture of a house on it)… this takes you to the main program menu.
  7. Scroll down until you see the VersaMail icon (the icons are in alphabetical order).
  8. Select the VersaMail icon with your stylus.
  9. Select the "VersaMail" tab highlighted in blue at the top, select "Accounts," select "Account Setup"
  10. Select "Edit" at the bottom of the screen.
  11. The Account Name defaults to "VersaMail"
  12. Select "other" from the drop down menu for Mail Service.
  13. Protocol should be set to "IMAP."
  14. Click "Next" at the bottom of the screen.
  15. Type in the customer's username.
  16. Have the customer type in their e-ID password.
  17. Click "Next" at the bottom of the screen.
  18. Type in the customer's JMU email address (i.e., doejx@jmu.edu)
  19. Incoming mail server should be: imap.jmu.edu
  20. Outgoing mail server should be: smtp.jmu.edu
    Note: Using an IMAP client off-campus to access your JMU e-mail through an outside Internet Service Provider (ISP), such as Comcast, AOL, etc. may require different configurations for their outgoing SMTP server (such as server name, authentication and SSL). Please contact your ISP for those configurations.
  21. Click "Next" at the bottom of the screen.
  22. Click "Advanced" at the bottom of the screen.
  23. Put a check in the box next to "Use Secure Connection (SSL)"… this will change the port number to 993.
  24. Click "Next" at the bottom of the screen.
  25. Put a check in the box next to "Use Secure Connection (SSL)"…this will change the port number to 25.
  26. PUT A CHECK BY THE BOX FOR "USE AUTHENTICATION (ESMTP)."
  27. Click "Done" at the bottom of the screen.
  28. Click "Yes" if it asks you "Are you sure you want to overwrite the existing settings for the VersaMail account?"
  29. Click "OK" at the bottom of the screen.
  30. Now you are back to the VersaMail screen, delete the standard four messages you see…these are junk.
  31. Click "Get" at the bottom of the screen…this allows to connect to the server and download messages from the server.
  32. Test sending a message by clicking on "new" at the bottom of the screen. (To validate that the message was successfully sent and received, I recommend you send the message back to the customer).

  5. Now you are ready to install the VersaMail IMAP connection:

    Note: Using an IMAP client off-campus to access your JMU e-mail through an outside Internet Service Provider (ISP), such as Comcast, AOL, etc. may require different configurations for their outgoing SMTP server (such as server name, authentication and SSL). Please contact your ISP for those configurations.
  21. Click "Next" at the bottom of the screen.

  23. DO NOT Put a check in the box next to "Use Secure Connection (SSL)" This leaves the port number 143.
  24. Click "Next" at the bottom of the screen.
  25. Put a check in the box next to "Use Secure Connection (SSL)" …this will change the port number to 25.
  26. PUT A CHECK BY THE BOX FOR "USE AUTHENTICATION (ESMTP)."
  27. Click "Done" at the bottom of the screen.
  28. Click "Yes" if it asks you "Are you sure you want to overwrite the existing settings for the VersaMail account?"
  29. Click "OK" at the bottom of the screen.
  30. Now you are back to the VersaMail screen, delete the standard four messages you see…these are junk.
  31. Click "Get" at the bottom of the screen…this allows to connect to the server and download messages from the server.
  32. Test sending a message by clicking on "new" at the bottom of the screen. (To validate that the message was successfully sent and received, I recommend you send the message back to the customer).

How do I set up a Treo Phone using VersaMail with BizCon to Sprint Server?

First, check to ensure the phone has been charged. New phones typically are not charged or barely have a charge. To check the charge level:

  1. Press the power button (the only button on the phone that is red).
  2. Press the center button to unlock the keyguard.
  3. Press the telephone button on the left side of the phone.
  4. With the stylus, touch the battery icon on the top right side of the screen (this will tell you the charge level of the battery by percentage.
  5. Now you are ready to install the BizCon connection:

  6. Press the home key (the button with a picture of a house on it)…this takes you to the main program menu.
  7. Select the "Get BC" icon with your stylus.
  8. Select the "Download Now" at the bottom of the screen.
  9. Select "Yes" when the question "To complete this request, you must connect to the internet. Would you like to connect now?"
  10. A webpage will appear with the title "Download PCS Business Connection for Palm." Scroll down the webpage until you see the second selection "enterprise edition" and select it.
  11. A download page will appear and ask if you want to download the program, select "yes" at the bottom of the screen. The default location for saving this program is "Applications."
  12. The download is 1.73M and will take about 1 to 2 minutes normally.
  13. When the download completes, select "Save and open."
  14. Select "yes" when asked if you want to accept BizCon into applications …this will transfer the program into the applications folder.
  15. Select "reset" when prompted to reset your phone.
  16. After the phone resets, push the message button (has a picture of an envelope on it).
  17. A "Mapping Side Buttons" box will appear; checkmark the box by the "Don't show this dialog box again," then select "yes" at the bottom.
  18. A License box will appear, select "OK" at the bottom of the box.
  19. Confirm that the correct phone number is shown on the next screen and select "next."
  20. Select "Yes" when the question "To complete this request, you must connect to the internet. Would you like to connect now?"
  21. A register box will appear, enter the Enterprise ID: cisat
  22. Enter the customer's e-ID (i.e. doejx)
  23. Enter the customer's e-ID password.
  24. Select "Next" at the bottom of the screen.
  25. Enter the device registration code: tsec
  26. Select "next"
  27. Select "register"
  28. This will create a two way encryption with the server.
  29. Now the phone should be connecting to the server and downloading the customer's messages.
  30. When this completes, push the home key.
  31. Scroll down and select the "Prefs" icon.
  32. Select "Buttons" under the Personal section.
  33. On the left side below the phone selection, select BizCon for both the calendar and the message icons.
  34. Now press the message button on the phone, you should see the customer's messages.
  35. Test sending a message by selecting the pencil at the bottom of the screen.

How do I install the Treo Phone Palm Software?

  1. Connect the USB sync cable to the customer's computer.
  2. Plug in the AC power cord from the power source (preferably a surge protector) to the USB sync cable.
  3. Place the CD in the CDROM drive. The autorun should start the program.
  4. Select "next" at the bottom of the Welcome box.
  5. Select "next" at the bottom of the box.
  6. Accept the Software License Agreement terms, and select "next" at the bottom of the box.
  7. Leave the checkmark in the "Download latest settings from the Internet (recommended)."
  8. Select "next" at the bottom of the box.
  9. The default file location for this program is C:\Program Files\palmOne\, select "next" at the bottom of the box.
  10. Select "Finish" at the bottom of the next box after the installation.
  11. Select "Yes" when prompted to restart the computer ….DO NOT REMOVE THE DISK FROM THE CDROM.
  12. After the computer reboots, a "Congratulations!" box will appear, select "Next" at the bottom of the box to start the synchronization installation.
  13. Create a name for the device (phone)…usually I call the phone the customer's e-id (i.e., doejx).
  14. Select "Next" at the bottom of the box.
  15. Next you have to select which type of synchronization the customer will use, either Palm Desktop or Palm Desktop and Outlook. For customers wishing to also sync their Oracle Calendar, or those customers using BizCon, you must select the one with Outlook. [Can choose Palm Desktop if planning to install Oracle Calendar Sync tool.]
  16. Select "Next" at the bottom of the box.
  17. At this point, if you receive a warning regarding some applications in the backup folder not being compatible with this version of Palm OS 5, select "OK" at the bottom of the box. Don't be concerned if this box does not show up during the installation, it will only appear if a previous version of Palm software was loaded on the customer's computer.
  18. Next select "No, only copy my calendar, contacts, memos, and tasks"
  19. Select "Next" at the bottom of the box.
  20. Next a "Synchronize key information" box will appear, push the synchronization button as shown in the picture. At this point windows should recognize and install the phone.
  21. Sync will then begin.
  22. An Outlook profile selection box will appear, select "OK" at the bottom of the box.
  23. The initial sync will then complete.
  24. Select "Finish"
  25. At this point, the phone should display that it must be reset….select "reset."
  26. Select "Next" at the bottom of the box to go to step 3.
  27. You do not register the software….select "Skip" at the bottom of the box.
  28. Select "Skip" when ask if you are sure you want to skip registration.
  29. Select "Skip" at the bottom of the box.
  30. Select "Quit" at the bottom of the last box.
  31. In the startup menu in the lower right hand side of the desktop, a red and blue Hotsync icon will appear (you may need to expand the startup to see all the icons present). Right click on the Hotsync icon and select "Setup" and select the "Network" tab at the top. You should see the name listed (i.e., doejx) that you assigned it earlier in step 13. Place a checkmark in the box beside the name.
  32. Select "Apply" at the bottom of the box.
  33. Select "OK" at the bottom of the box.
  34. Press the sync button on the USB sync cable again.
  35. Now the phone will sync to Outlook retrieving the contacts and calendar.

How do I deal with issues using Send/Get in VersaMail?

VersaMail Send/Get

* When sending:

  • If you get a time out, try to send again.
  • If your message goes to Drafts, try to send again.

* When using Get:

  • If you get at time out, try again.
  • If you get SSL Open Error 4626, make sure you have Inbox selected and attempt to Get again.

How do I delete messages on the Webmail server with Versamail?

  1. Open a message and click the Delete button.





  2. Check the box next to Also delete message(s) on the server.





  3. Go to the Messages menu and select Empty Trash.





  4. Next select Both





  5. Click OK to update the changes to the mail server.
