USAGE
POLICY AND GUIDELINES
The use of the
Leeolou Alumni Center is dependent upon the availability of the facility
and will be regulated according to alumni center guidelines.
The
Madison Alumni Great Room is reserved by JMU faculty, staff, students
(through an advisor) or alumni for functions that advance an alumni
relations, development, media relations, parent relations, or public
relations effort. On a case-by-case basis, the Madison Alumni Great
Room may be reserved for functions outside the mission of the JMU
Alumni Association and the Division of University Advancement. A $150
useage fee is required for functions that are deemed to be outside
the scope of our mission.
Reservations
may submitted on-line, but must also be confirmed by phone Monday
through Friday, 8 a.m. to 5 p.m. Persons wanting to schedule an event
must complete a Madison Alumni Great Room reservation form. All events
scheduled require the approval of the Office of Alumni Relations.
To schedule, call JMU Alumni Relations (540-568-6234) at least one
week in advance of the event, indicating the date, time and number
of guests. Cancellation notice should be given at least four days
prior to an event. All functions are scheduled in accordance with
the university calendar (e.g., the alumni center is closed when the
university is closed.) Events that occur on the weekend or outside
of normal business hours must have a sponsor from the University Advancement
or JMU Special Events staff. Student organizations wishing to reserve
the Great Room must have an official advisor complete the room reservation
form.
Seated
events can accommodate up to 39 people. Standing events can accommodate
up to 75 people. At this time the Leeolou Alumni Center is not staffed
for setup or cleanup of rooms. Permanent furniture, which includes
tables and chairs, end tables, couches, etc., should not be moved.
Food is permitted at functions but must be arranged through JMU Special
Events, as the kitchen is not equipped for food preparation. Sit-down
dinners are not permitted. Alcoholic beverages, except red wine, are
allowed. The sponsor(s) of the events will be responsible for making
arrangements with JMU Special Events for food setup and pickup. The
person(s) sponsoring the event will be responsible for cleanup. Event
hosts may be held responsible for damages. All trash must be bagged
and placed in the kitchen area for housekeeping staff to remove. Decorations
will be limited to floral arrangements provided by the party sponsoring
the event. Tape is not allowed on the walls. Limited A/V equipment
is available on site and must be requested in advance.
